Frequently Asked Questions
Here you will find answers to the most frequently asked questions about data protection, testing, introduction, and functions of ginione.

An Employee Assistance Program (EAP) is a company support service that helps employees cope with work-related and personal stress. As an EAP for companies, we provide structured, professional, and confidential support to promote mental health. Use of the program is voluntary, confidential, and independent of the employer.

Our EAP provides support for a wide range of issues that can affect health, well-being, and everyday working life. These include stress, overload, burnout, anxiety, sleep problems, psychosomatic complaints, personal worries, career or leadership issues, and topics related to mental and physical health.

Yes, confidentiality is the basis of the EAP. Employers cannot view the content of conversations, appointments, or personal information. Companies only receive anonymized, aggregated evaluations that do not allow conclusions to be drawn about individual persons.

The EAP is open to all employees of the company. Depending on the structure, managers or specific target groups may also be included. Use of the program is voluntary at all times and does not require approval from supervisors.

Employees can book appointments at short notice and usually gain access to professional counseling within a short period of time. The goal of the EAP is to provide fast, low-threshold support without long waiting times.

Yes. ginione meets the highest data protection and security requirements. The software is GDPR-compliant, uses secure data transmission, a strict role and rights concept, and certified infrastructure to protect sensitive information.

Our EAP is suitable for companies that want to offer their employees low-threshold, professional support and promote mental health in the long term, regardless of industry or company size.

The ginione OHS Hub is GDPR-compliant and adheres to industry-leading standards for data protection and security. It runs on servers in German, ISO-certified data centers operated by Hetzner, and all data transport is encrypted with TLS. Access to data in your HR system is provided via an ISO-certified interface.

The ginione OHS Hub offers seamless integration through interfaces to popular HR systems such as Workday, Personio, HeavenHR, BambooHR, HiBob, and over 200 other HRIS. The necessary data for your employees is imported into the ginione OHS Hub on a daily basis. To do this, we use Kombo, a unified API provider with ISO certification – this ensures that the interface will always work, even if there are technical changes to your system, and that data is transferred securely.

You can also use the ginione OHS Hub if you already have a provider for basic OHS supervision. Not satisfied with your current provider? In that case, a switch can make sense! Many companies stick with their provider out of habit — even when they experience unclear structures, limited transparency, or insufficient guidance. ginione guides you through the provider change.

Note: If your trust has been seriously breached, you also have the option to terminate your contract prematurely within the contract period. ginione is happy to advise you.

Occupational Health and Safety (OHS) refers to all organizational, technical, and medical measures that protect and promote the safety and health of employees at work. OHS management software helps you organize these measures digitally. This includes risk assessments, training, incident management, deadline monitoring, and necessary documentation. The goal is to implement legal requirements in accordance with the ArbSchG, DGUV, and ASiG in an efficient, traceable, and secure manner.

Risk assessments are mapped in ginione using guided digital processes. Physical and psychological hazards can be recorded, evaluated, and documented in a structured manner. Measures can be derived directly, tracked, and stored in an audit-proof manner — including special use cases such as Risk Assessment Maternity.

Audit-proof occupational health and safety means that you are prepared at all times for visits from inspection authorities such as the Berufsgenossenschaft (BG/VBG) or the Office for Occupational Health and Safety. These authorities carry out spot checks to ensure that companies are complying with their duty of care in accordance with the law. The focus is often on the following areas:

  • Basic OHS supervision (Grundbetreuung)Have you appointed an occupational physician and an OHS specialist?
  • Organization:Are occupational safety committee (ASA) meetings held and documented regularly?
  • Prevention:Are risk assessments up to date and is the Prevention Register maintained without gaps?
  • Team readiness: Are enough fire safety officers and first aiders appointed and trained? Are the necessary Instructions documented?

Yes. The law does not differentiate between construction sites, offices, and desks in the living room. Risk assessments and prevention must also be documented for screen-based workstations and home office environments. ginione is specifically optimized for the modern working world and supports you in meeting these requirements.

Don't worry, the technical vocabulary used in occupational safety is more confusing than the issues themselves:

  • OccupationalHealth and Safety(OHS):This is the umbrella term for all measures that protect the safety and health of your team at work. In German, this is referred to asArbeitsschutz(hence the name OHS Hub).
  • Occupational Health (Arbeitsmedizin) :Both terms mean the same thing. They refer to the medical aspects covered by an occupational physician (Betriebsärzt:in) (e.g., preventive care or advice on ergonomics).
  • Occupational Safety (Arbeitssicherheit) FaSi, and SiFa:This is the technical side of occupational safety. It's about preventing accidents and hazards in the workplace. FaSi and SiFa are two abbreviations for the same job: occupational safety specialist. They advise you on all technical and organizational safety issues.

Occupational health and safety in Germany is governed by a strict set of rules designed to ensure that every team works safely. The two most important pillars you need to know about are:

  • ASiG (Occupational Safety Act):This law is your "basic law" in occupational safety. It requires every company —regardless of size— to appoint experts (occupational physician (Betriebsärzt:in) and occupational safety specialist (Fachkraft für Arbeitssicherheit) for consultation.
  • DGUV Regulation 2:While the law regulates the "what," this accident insurance regulation clarifies the "how much." It calculates how many hours these experts must support you per year based on your number of employees and industry. This is called basic OHS supervision (Grundbetreuung).

Compliance with these requirements is checked at random by the employers' liability insurance associations (e.g., VBG) or the Occupational Safety and Health Administration.
